Business Office Assistant

["•\tThe incumbent will participate in the development of annual budgets. S/he will provide departments and leadership with historical, trend and other financial data and analyses to support planning efforts.\r\n•\tS/he will participate in the creation of the appropriate planning tools.\r\n•\tS/he will create dynamic budget and analytical tools for senior leadership and related charts, graphs and trend lines.\r\n•\tS/he will provide ad hoc reporting as requested by senior leadership.\r\n•\tS/he will support the Senior Staff Assistant in analyzing material variances against the approved budget.\r\n•\tS/he will alert the Senior Associate Director, Resource Management and the respective senior leader (Facilities, Residential Life, Housing Operations, and/or Director) of potential budgetary overages and make recommendations for remediation.\r\n•\tS/he will be will participate in capital project and small scale rehab budget planning and ensuring funds availability. S/he will alert the Senior Associate Directors for Resource Management and Facilities and key stakeholders of potential overages. S/he will represent the Business Office in project planning meetings.\r\n•\tS/he will support the Senior Associate Director, Resource Management in liaising with university Financial Management, SUNY Office of Capital Facilities, and the Dormitory Authority of New York (DASNY) regarding capital projects funding.\r\n•\tS/he may respond to budget and financial inquiries from the UB Foundation regarding UB Foundation properties.", "•\tThe incumbent will be responsible for the administration of approximately 40 NYS and UBF procurement cards with an annual approximate spend of $700k. S/he will ensure propriety and completeness of all supporting documentation in compliance with established NYS and University guidelines as well as funds availability and certification.", "•\tThe incumbent will have oversight of all state and UBF accounts payable, ensuring receipt of all goods and services as well as funds availability. S/he will maintain records of bills of lading, packing lists and all other verifications of receipt for goods and services.", "•\tThe incumbent will have oversight of Business Office materials for annual and ongoing training that is conducted for incoming Campus Living paraprofessional staff, new professional employees, and current staff. The training sessions will cover applicable university policies and guidelines including allowable use of funds, procurement and travel, receipt of goods and services, asset management and budget management. S/he will advise staff on a daily basis on applicability of policies and procedures.", "•\tIncumbent will ensure the annual review and updates to all Campus Living policies and standard operating procedures (SOPs).
